Technical installations and their maintenance contracts by building
Boiler, lift, fire detection, roof: each technical installation has its contract, its service provider and its frequency. TSC Immo links them to the portfolio and relies on the Odoo Maintenance module for interventions.
Installations and their contracts
Each installation is linked to a building, and to a unit if it is private. Its maintenance contract carries the service provider, the reference, the annual cost, the frequency and the validity dates. Eight installation types are supplied and can be freely renamed.

One contract, several buildings
A maintenance contract signed with a service provider covers the installations of several buildings at once: the four lifts of a portfolio under a single framework contract, each with its share of the annual amount. The property manager schedules one visit per installation on the same date, and a single letter goes to the service provider for the whole set. An amendment creates a new version of the contract; the old one remains readable.
At the annual statement, the invoices expected under the contract are checked: if one is missing, the statement for the building concerned stays blocked until it is received.


A four-level status
Not scheduled, overdue, within 60 days, up to date. The next maintenance is read from the open preventive interventions. The filters supplied give the same figures with one click.
Four indicators on the building record
Active contracts, overdue maintenance, expiries within 60 days and total annual cost: the building's Maintenance tab replaces the table kept separately.

Scheduled preventive interventions
One click creates the first preventive intervention, and the native recurrence of Odoo Maintenance takes over.
Daily reminders
Every day, a scheduled task refreshes the statuses, initialises missing plans, creates an activity for the property manager for each maintenance that is overdue or approaching, and writes to the service provider, once per due date and only if the contract is in progress.
The maintenance invoice qualifies itself
When the service provider's invoice arrives, the contract's service charge type is suggested on the line: the service charge is ready for the statement.
The year's purchases and repairs of installations appear in the Profitability by building report, in three columns (purchases, repairs and their sum). They partly overlap with service charges, since a recoverable repair is also a service charge, and are therefore not deducted from the result.
Inventory of installations and cost of each appliance
Each installation carries its purchase price, its invoiced repairs and its tickets. A replacement threshold, set by appliance type as a percentage of the purchase price or as an amount, displays the “To be replaced” banner as soon as it is crossed. The replacement is ordered, received and invoiced against the unit and the building; the old appliance is archived, and its history remains readable.
When a tenant's request concerns an installation, the contractor under a maintenance contract is suggested automatically for the vendor ticket. See the intervention chain.
On the demonstration database, a fridge bought for €540.00 has accumulated €300.00 of repairs, beyond the 50% threshold set at €270.00: it is replaced by an appliance costing €620.00, and the unit carries €1,460.00 of installation costs.
